We are pleased to provide our members and community with the newly updated job descriptions for the USATF Mid-Atlantic Association leadership. This document outlines the authority and responsibilities for our Officers and the Board of Directors to ensure transparent and effective governance.

What is Included in the Document?

The attached guide serves as a comprehensive breakdown of the roles that drive our organization forward. It details the specific duties for the following positions:

  • Board of Directors: This governing body establishes the Association’s strategic direction, goals, and annual priorities. They are also responsible for approving the annual operating budget and ensuring compliance with USATF accreditation standards.

  • President: Serving a two-year term, the President is the chief elected officer and Chair of the Board. The President provides strategic leadership, coordinates volunteer activities, and ensures the Association fulfills its mission.

  • Vice President: The Vice President supports the President in administering the Association and serves a two-year term. This officer acts for the President in their absence and actively promotes USATF Mid-Atlantic programs and events.

  • Secretary: Serving as the chief administrative officer, the Secretary maintains official corporate records and documents Association actions. They also coordinate meetings, prepare agendas, and manage delegate eligibility for the Annual Meeting.

  • Treasurer (Chief Financial Officer): The Treasurer oversees the integrity of the Association’s financial affairs during their two-year term. Responsibilities include managing banking relationships, processing disbursements, and coordinating necessary tax filings.

Universal Officer Responsibilities

In addition to role-specific duties, the document outlines key responsibilities expected of all elected Association Officers:

  • All officers must maintain current USATF SafeSport training and background screening clearances throughout their term.

  • Officers are required to use and regularly monitor the USATF-mandated Association legacy email accounts for official business.

  • Each officer must ensure an orderly transfer of records, passwords, and Association property to their successor at the end of their term.

Looking Ahead: Next Steps

As part of the new administration’s goals, the organization has outlined clear next steps for continued improvement:

  • The administration will review, consolidate, and update all committees listed in the current bylaws, including Sports Committees.

  • There are plans to update Committee job descriptions and create a comprehensive playbook for Officers and Sports Committees to detail exactly how the work gets done.
